FOR VENUE PARTNERS

How It Works

A practical guide to listing event spaces, handling bookings and managing your venue business.

venuebook.in is a marketplace and software platform operated by SYFTE Market Services Private Limited. Venue owners and authorised operators (“Partners”) can list banquet halls, convention centres, auditoriums, wedding venues, party halls and similar event spaces, and manage bookings through a Partner dashboard.

9 steps

How to become a venue Partner

  1. 01

    Create your account

Sign up using accurate contact and business information. Complete the available login verification and choose the event-venue listing category.

  2. 02

    Choose the property structure

Create a standalone venue if you operate one separately bookable hall, or create a parent property containing multiple child venues or event spaces. Enter each separately bookable hall as its own child space where the product supports this structure.

  3. 03

    Enter venue and business details

Add the address, description, photographs, capacity, amenities, accessibility, parking, permitted event types and applicable restrictions. Accurately identify the person or business authorised to rent the property.

  4. 04

    Configure each bookable space

Set the hall’s booking hours, flat-rate or per-person pricing (where supported), availability, any security deposit and applicable venue rules. Keep the calendar and pricing current.

  5. 05

    Complete KYC and tax information

Submit requested identity, PAN, bank-account and property-authorisation documents, together with GST information where relevant. Review any verification queries and resubmit corrected details if rejected. Certain listing or settlement features may remain restricted until required checks are complete.

  6. 06

    Review the commercial terms

Read the Partner Agreement, applicable subscription charges, any commission, payment processing deductions, settlement terms and cancellation responsibilities. The charges shown in your approved commercial terms and live checkout control; examples are not binding price quotations.

  7. 07

    Activate your venue subscription

Where the offer is available, a ₹1 first-month activation charge applies as displayed. Regular recurring subscription charges begin from the disclosed next billing cycle. Review the per-venue calculation, taxes, renewal date and any authorised UPI or card mandate before consenting.

  8. 08

    Review and publish your listing

Check the parent property and each child venue for completeness, price accuracy and valid availability. Publication or booking access depends on the platform’s applicable checks and account status.

  9. 09

    Receive and manage reservations

Monitor online requests, respond within the available workflow, honour confirmed bookings, block unavailable dates and maintain an accurate calendar for each space.

Day-to-day venue management

  • Update capacities, tariffs, photos, availability, packages, add-ons and venue policies when they change. Display any compulsory charge before the customer books.
  • For a parent property with multiple child halls, manage each hall’s availability separately and prevent overlap with other online and offline commitments.
  • Disclose restrictions affecting customer decisions, including alcohol permission, outside catering, music and DJ timings, decoration, fire safety, guest capacity, parking and closing times.
  • Use authorised Partner Team Login access where available. Give staff only necessary permissions and remove access when no longer needed.
  • Disabling a venue or pausing billing does not by itself cancel confirmed customer reservations. Follow the dashboard restrictions and subscription rules, and lawfully resolve all existing bookings.

Subscription and AutoPay

  • Introductory activation

The ₹1 activation amount, when offered, relates only to the disclosed first-month period. It is not the permanent subscription price.

  • Regular billing

The recurring amount is based on the pricing and number of billable venues or child spaces shown in the Partner account, plus applicable taxes. Verify the final amount and billing date before you authorise payment.

  • Renewals and mandate controls

AutoPay can debit only in accordance with an authorised mandate and the payment-provider rules. Pause, resume, cancellation, failed debits and reactivation are governed by the stated subscription terms and relevant dashboard controls.

  • Billing records

View subscription payments and download available invoices in the billing history section. Subscription charges and booking-service charges are separate commercial items unless expressly stated otherwise.

Online and offline venue bookings

Online booking requests

  • Keep hall availability and prices accurate; respond promptly to requests where manual acceptance is required.
  • Treat reservations as confirmed only after the specified approval and payment conditions have been satisfied and the platform reflects confirmation.
  • Deliver the confirmed hall, booked hours, facilities, packages and paid add-ons. Do not impose undisclosed mandatory charges after confirmation.
  • Record any mutually agreed changes to the date, guest count, booked space or price through supported platform workflows so both parties have a clear record.

Bookings received outside venuebook.in

  • Use offline reservation tools, where available, to enter walk-in, phone or direct bookings and avoid double-booking a hall.
  • Enter customer contact details accurately and lawfully. Where supported, the customer may view the Partner-recorded reservation through My Bookings after signing in with the relevant contact details.
  • If you collect money directly, issue the appropriate receipt or tax invoice and manage the legal accounting and refund obligations. Do not present the payment as having been collected by venuebook.in.

Payments, settlements and invoices

For eligible online bookings, payments are facilitated through integrated payment providers. Net settlement amounts can reflect the venue charge and eligible add-ons less applicable gateway charges, agreed venuebook.in commission or other fees, refunds, reversals and statutory deductions, where relevant. The exact calculations must match your accepted commercial terms and applicable law.

  • Settlement records

Review the booking and settlement ledger for amounts collected, applicable deductions and the net amount payable. Bank-credit timing may depend on payment-provider settlement cycles, transaction status, disputes and compliance reviews.

  • Taxes and invoices

Tax obligations depend on the actual event-venue service, supplier registration, location and transaction structure. Do not assume venuebook.in is the GST supplier solely because the venue Partner is unregistered. The legally responsible party must issue the appropriate invoice and account for GST, TCS, TDS or other statutory requirements where applicable.

  • Security deposits and balances

Disclose who collects the security deposit or remaining balance, when payment is due, what deductions may lawfully be made and when any refundable portion is returned. Keep supporting records of damage or other deductions.

Cancellations, rescheduling and problems

  • Publish a clear and lawful venue-specific cancellation and rescheduling policy before accepting bookings. Apply it consistently, subject to mandatory consumer rights.
  • Respond to modification requests based on actual availability, the agreed booking terms and any clearly disclosed price differences.
  • If your venue cannot honour a confirmed reservation, notify the customer and venuebook.in promptly and cooperate with any legally required refund, alternative arrangements or other remedy.
  • Maintain fair written records of no-shows, customer complaints, disputes, damage and security-deposit deductions. Never misclassify a Partner-caused cancellation as a customer cancellation.

Safety, licences and responsible operations

  • Maintain the ownership or operating authority and all permits legally needed for your venue and activities, including applicable occupancy, fire, local-body, trade, food-service, alcohol or sound permissions.
  • Observe occupancy limits, fire exits, building restrictions, event timing and local noise rules. Arrange appropriately qualified staff, emergency procedures and insurance where legally required or commercially appropriate.
  • Advertise only facilities and services you can actually provide; avoid misleading photographs, fake reviews, hidden charges or inaccurate tax descriptions.
  • Protect customer names, telephone numbers and other booking information. Use the data only for lawful booking-related purposes, limit staff access and follow the platform Privacy Notice and applicable law.
  • Cooperate with legitimate customer complaints, verification requests, fraud-prevention reviews and required regulatory processes.
